Using accounts

This article introduces accounts in Domino and the most common use cases:

About accounts

Accounts in Domino provide the functionality required to keep track of guests. In this case, guest can be either an individual person, or another company. Here are some examples of its use:

  • Guests or employee cards with related price groups (discounts).
  • Employee (value carrying) cards for a factory restaurant.
  • Company (B2B) accounts with monthly invoicing (not available in France).
  • Bar tabs as a more flexible alternative to tables or even hotel rooms. 

All of the use cases above can be combined depending on your needs. 

For the purpose of this guide, account functionality is split into four categories:

Accounts with discounts

Accounts can be used to apply discounts to the bill by linking an account to a price group.

Accounts with VIP - monetary value storage

VIP is an additional functionality that enables the Guest account to store a value that is used for payments.

VIP can be configured in two ways:

  • Preset or prepaid value: value is allowed to range from plus to zero, after which account needs to be reloaded with value to be used as payment method again. That means that if you load 10 € to an account, you can use the VIP account for payment until you use up the 10 €. 
    VAT and Sales are registered when tickets are closed with the VIP Paymode, not when the account is loaded with the pre-paid amount.
  • Credit value: value is allowed to extend into minus to a defined limit, after which account needs to be reloaded with value to be used as payment method again. That means that if account is configured to allow credit of -100 €, you will be able to use the VIP account for payment until its value reaches -100€, after which it will have to be reloaded back to a positive value (above zero) to be able to use it again.
    VAT and Sales are registered when when tickets are closed with the VIP Paymode, not when the account is loaded with the amount to reach Zero.

Accounts with BarTab

BarTab is an open tab that can be kept open for a longer period of time (days, weeks, even months). It is common for smaller hotels and hostels to use this feature as a substitute for a hotel system to keep track of room service charges. Some restaurants use this feature to keep an open tab on their regulars. 

BarTabs are similar to tables, except that they don't get closed automatically during dump. Keep in mind, that the revenue will be registered on the center where the tab is paid and not where the products were ordered.

Accounts with invoices

Accounts can be used when invoicing to display company info on receipts.

NOTE: This functionality is not available in France since it's not compliant with the French tax regulation. 

Accounts vs. Vouchers

Although Accounts with VIP can carry value, when it comes to gift cards, the preferred solution is to use vouchers as gift cards instead: Vouchers as gift cards.

Activating an Account

Once created in Domino, the Guest can be identified in two ways:

  • Scanning the account card

or

  • Searching for the account.

Scanning the account card

Account cards can be scanned at any time on Sales or Customer pages. 

  • Navigate to Sales page and scan the card. The fetched account will be displayed in the upper right corner:

  • (Alternatively) navigate to Customer page and scan the card to display the account info:

Searching for the account

  • Navigate to Sales page and select the Customer area in the upper right corner:

  • This will open up a search screen where you can search for an account (minimum of 3 characters). Select the account and activate it by selecting Activate Customer in the lower left corner:

  • If no account is found, you may need to create a new account: Creating a new Account.
  • If there are any discounts or different prices linked to the account, they will be applied to the order:

  • (alternatively) Navigate to Customers page and select Search in the lower left corner:

  • This will open up a search screen where you can enter the account info. Select the account and activate it by selecting Activate Customer:
