Swedish fiscal requirements - control box

This article explains what control box/blackbox/skattebox is in Sweden and how to register your POS device and the control box with the Swedish tax office (Skatteverket). 

What is it?

Control box/blackbox/skattebox is a device required for all POS devices in Sweden that operate under a company that is subject to VAT regulation. 

Who can register a control box?

After 1st of April 2023 this can only be done by the following company employees:

- Person authorized to sign for a firm

- Person who is added as an agent for that firm on the tax agency webpage.

Registration process

Preparing the data

You need the following information to start the registration process, it is a good idea to write it down so it's handy when starting the process:

  • Model & version of each control box device (Kontrollenhet: Modell): Displayed on the label on the black box device:
    • Model A:

    • Model B:

  • Production number of each control box device (Kontrollenhet: Tillverkningsnummer): Starts with KEAXE, PPLUS, or RIHTT. Displayed on the label on the black box device as SerieNR:
    • Model A:

    • Model B:

  • Production number of each POS device (Kassaregister: Tillverkningsnummer): You can find it in the upper left corner of the Domino program:

  • If you are using more than 1 POS device, make sure to note which POS device uses which control box. 

Register the control box

  • Login with the chosen authentication method (BankId or similar)
  • Select the company that you would like to represent:

  • For each POS device - control box pair, the control box needs to be registered first, after which POS device is registered and associated with the control box. 

Assign the control box with a POS device

  • Select Anmäl ny kontrollenhet:

  • At Tillverkare, select PosPLUS:

  • At Model, select a model from the drop down list. For info on how to identify the model, check out Preparing the data above:

  • At Tillverkningsnummer, enter the Production number of the control box. For info on how to find the production number, check out Preparing the data above:

  • At Kontrollenhetens adress, enter the address information and confirm with Nästa:

  • Double-check that the information is correct and complete the registration. The control box will be given an identification number that you can use to assign it to a POS device. 
  • Now select Anmäl nytt kassaregister to register the POS device:

  • At Kontrollenhet drop-down menu, select the control box that you just registered from the list:

  • On the Beteckning drop-down menu, select Domino:

  • On the Modell/Program drop-down menu, select DominoSE SE 3.xx:

  • At Tillverkningsnummer, enter the POS production number. For info on how to find it, check out Preparing the data above:

  • At Programvarans address, check the Samma adress som kassaregistret box:

  • At Adress där journalen skapas, check the Samma adress som kassaregistret box:

  • Double-check that the information is correct and complete the registration.
  • When the process is complete, you will be issued a Registration confirmation (Registreringsbevis). A paper version of the document will be sent by post to you as well. 

Moving the control box device from one POS device to another

If for any reason you need to physically move a control box to another POS device, you don't need to re-register the control box on the Skatteverkets website again since it's already registered, you only have to reassign it to a different POS device by following the steps in Assign the control box with a POS device.

Stickers

After you have completed the registration, within several weeks, Skatteverket will send you stickers for POS devices and their control boxes, one sticker for each POS device and one for its corresponding control box.

Once you have received the stickers, they need to be applied on a visible place on the back side of the POS device. For any questions related to the stickers, contact Skatteverket

NOTE: Right now, Skatteverket is out of the material required for printing the stickers, so they are not a requirement until they start sending stickers again. 

Tax office audit (Skatteverket kontrollbesök)

In case the Swedish tax office arrives for a control check, what is required of you differs slightly from case to case, but most often you will have to assist with the following:

  • Hand over the Registration confirmation (Registreringsbevis) that was issued to you when you registered the POS devices with their blackboxes. 
  • Print the X/Z report for the current day and any other days required.

  • Download the Domino journal files to a USB or send them via email to the auditor.

  • Generate a Wallet (Växelkassa) report.

  • Show where the POS ETC serial number can be found, where the control box devices are located and where the stickers are applied.

  • Print/email the receipt copy of their control purchase. To do that, follow the Reviewing Tickets in Backoffice guide to navigate to ticket, select it and select RePrint. Observe that according to Swedish tax regulation, only 2 receipt prints of each ticket are allowed on systems using a control box. Tax office (Skatteverket) should be aware of that. 

In case your company uses a personnel management solution such as Caspeco or Personalkollen, check with the solution provider on what you are required to do in case of Tax office audit.
